At Cactus Water Systems we don’t just recommend and sell top quality mains fed water coolers, bottle water coolers, water boilers, drinking fountains and other drink dispensing products and accessories – we also offer a range of services to ensure your equipment stays in great condition producing consistent, quality drinks day after day, all year round.

Our machines are installed and maintained in accordance with the industry best practice guidelines.

 

Types of service available

1. Standard rental

If you choose to rent a product from us we aim to make it as easy and hassle-free for you. We offer a one price package which gives you:

  • Our expert advice on the best value product for your needs
  • The machine of your choice
  • Site survey
  • Installation
  • Inclusive rental and servicing costs
  • The recommended service visits per year
  • Completed job sheet sent for your records
  • Full backup

3 and 5 year agreements are available.

2. Service and maintenance only

Our reputation for excellent customer service means we are often asked to take over the servicing and maintenance of water coolers, water chillers, boilers etc that have been bought from other suppliers.  Perhaps service visits are being missed requiring you to keep following up the company; if they are being done, they are not carried out to the standard required, or simply you don't get the right response as quickly as you need it.

Our approach in these cases is to:

  • Every six months we carry out a routine filter change and sanitisation
  • (We will contact you in advance to advise when the service will be carried out)
  • Once complete, we send a completed job sheet for your records
  • And finally,  we always diary your next routine service visit – so you don’t need to

3. Managed service

If you are a customer with a large number of units, perhaps installed in different offices or branches across the UK, we can offer you a superior, trouble free service.

We aim to deliver continuity of service, so if you are a Facilities Manager you just need to choose your products and leave the rest to us. We recognise that the focus is on your end user having continual access to high quality water.

We will ensure that all units are installed and maintained to the highest standards – as you expect.

We will provide confirmation sheets for the servicing schedule and you can relax knowing our trained engineers will turn up when they have said they will – there is no need to chase us.

4. Call out service

And finally, even if you have a relationship elsewhere for your coolers we offer a call out service if your machine develops a fault – and in most cases we expect to be able to repair your machine on site.

 

Getting started

1. Initial Site Survey

The process is very straightforward. We discuss with you where you would like your cooler to be situated, confirm that your chosen location is possible and answer any questions you may have. In most case this can be done via a phone call and photographs of the site, or if necessary, we will arrange a physical site survey We will then agree a suitable time to return and install your machine. And of course this is included within the installation price.

2. Machine Installation

Installation for a Point of Use Cooler is normally quite straightforward, usually taking less than an hour depending on complexity and we will carry it out at a time that suits you. We can start early in the morning or at the end of the day to minimise disruption. The water supply does not need to be turned off to install our machines. Flood prevention valves, pressure reduction valves and single check valves are fitted as a matter of routine.

Installing a bottle cooler is simplicity itself. The unit will be delivered’, plugged in and the bottle fitted. Give it an hour to chill the water and then you are ready to go.

3. Routine Machine Sanitisation and Filter Changes for Point of Use mains-fed water coolers

The industry standard for inspection visits is every six months. We will advise you in advance when it is time for the six monthly visits and arrange a time that suits you to carry out the inspection.

Filters are changed in accordance with manufacturers’/industry standards and the amount of use your machine gets, with the usual interval being every six months. If, however, this does not meet your needs we will be happy to discuss with you your specific requirements.

4. Maintenance for bottle coolers

If you have chosen a bottle cooler, industry best practice is that it should be routinely sanitised every three months. When you buy one of these machines from us we will carry out the sanitisation every 13 weeks to fit in with one of our deliveries of water bottles in order to minimise disruption to your working day. We will also advise you on the best way of storing your replacement bottles, always out of direct sunlight.

5. Ongoing Back Up

If, at any time, there is a problem with your machine, we will always aim to repair it on site. If this is not possible we will replace the machine whilst the repair is carried out to ensure you always have a supply of water. And if you are not happy with the performance of the machine, please do call us and we will do everything we can to resolve the problem.
